There is always an essence in having all products in your company accounted for, as far as the inventory and catalogs are concerned, especially when they are to be procured.
Use this sub-module to capture all items that your organization intends to acquire through the procurement process, together with their unique identification codes and other relevant details.
To access this sub module click on: Procurement and Assets Management -> Navigate -> Setup -> Item Register.
The following screen will open up :
Click on the ADD NEW button to open the following window :
On the above screen, fill in the following:
Item type - Select the item's category from the drop down menu :
Inventory Type Pane :
(NOTE: Selected Item Type In This Case Is Inventory)
Category - click on the inventory category look up icon to open the inventory category look up dialog box:
Select the appropriate inventory category from the available list above.
Package - Select the appropriate package type associated with the item being captured.
Click on the Package Lookup icon to open the following Package Type Look Up dialog box:
Unit of measure - click on the unit of measure look up icon to open the following Unit Of Measure Look Up dialog box :
Select the appropriate unit of measure from the available list above.
Inventory Item Type:
Code - Type in the code that will uniquely identify the item
Description - type in a brief description of the item, in particular reference to its physical appearance.
Estimated unit cost - type in the estimated unit cost of the item.
Reorder Point - This refers to that level of inventory which triggers an action to replenish that particular inventory item e.g. triggers sending out of Purchase Orders to suppliers. Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Maximum Order - This refers to the maximum number of these items which can be ordered from the supplier at any given point in time.
Units Per Pack - This refers to the number of items contained in a package that amounts to the package being complete/ the number of units required to make up a package. Set this figure by either typing it in or scrolling to the specific figure using the up/down arrows.
Pallet Ti - This refers to the number of boxes/cartons/packages that can be stored on a pallet horizontally. Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Pallet Hi - This refers to the number of layers high that these packages will be stacked on the pallet. Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Unit Net Weight - Unit net weight refers to the weight of the product alone, discounting/ without including the weight of its container or packaging. Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Unit Gross Weight - Unit gross weight refers to the total weight of a product and its packaging.Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Lead Days - lead days refers to the amount of time that elapses between placing a purchase order and receiving products from the supplier. Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Economic Order - This refers to the quantity of an inventory item where it minimizes inventory costs and still comfortably meets the demand i.e it's not overstocked or wasting holding space. It is the optimum quantity for an inventory item.Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Remarks - Type in the appropriate remarks in relation to the item being captured into the register.
Monthly Demand - This refers to the monthly demand of that particular item within the Sacco, according to it's usage/consumption. Set this figure either by typing it in or scrolling to the specific figure using the up/down arrows.
Applicable Levies Pane :Select the appropriate levies that will be attached to the item being captured in the register from the list by checking the appropriate ones.

Click on the CREATE button to capture the item into the system.
On successful completion you will get a pop up message confirming that the operation was successful.
Pick the item as asset type from the drop down menu.
The fields will be populated as follows :
On the above screen :
Code - type in the code that will uniquely identify the asset.
Description - type in a brief description concerning the asset being captured into the system.
Estimated Unit Cost - this refers to the cost of a single unit of the item being captured.
Asset Type Pane:
Asset Type - click on the Asset Type look up icon to open the following Asset Type Lookup dialog box:
Select the appropriate asset from the list of available assets.
Unit of Measure - Select the appropriate unit of measure used to quantify the asset being captured into the system.
Click on the unit of measure look up icon to open the following Unit Of Measure Lookup dialog box:
From the above list, select the correct the unit of measure that best fits the asset being captured.
Remarks - type in appropriate remarks regarding the asset being captured.
Applicable Levies Pane :
Select the relevant levies that are applicable to the asset being captured into the system.
Click on the CREATE button to capture the item into the system.
On successful completion you will get a pop up message confirming that the operation was successful.
To view the created asset or inventory category items, always click on the refresh button to reload data onto the screen.
Inventory:
Select the item as inventory from the drop down menu then refresh.
Identify the entry to be edited :
Click on the edit icon against the entry to open the following screen:
Make applicable changes to the Item type, Code, Description, Estimated unit cost, Category, Package, Unit of measure, G/L Account, Monthly Demand,Reorder Point, Maximum Order, Units Per Pack, Pallet Ti, Pallet Hi, Unit Net Weight, Unit Gross Weight, Lead Days, Economic Order & Remarks fields.
Applicable Levies Pane : modify the levies that will be attached to the item being captured in the register from the list by checking the appropriate ones.
Click on the update button to save the changes into the system.
On successful completion you will get a pop up message confirming that the operation was successful.
Item Type Asset:
Pick the item type as asset from the drop down menu then refresh to reload data onto the screen.
Identify the item to be edited :
Click on the edit icon against the entry to open the following screen:
Make applicable modifications to the Code, Description, Estimated Unit Cost, Asset Type, G/L Account, Unit of Measure & Remarks fields.
Applicable Levies Pane :
Modify the relevant levies that are applicable to the asset being captured into the system.
Click on the update button to save the changes into the system.
On successful completion you will get a pop up message confirming that the operation was successful.
