This module is for receiving cash for loan repayments, boost investment and savings using cash.
NOTE: The cash received here MUST be apportioned up to 100%.
To access this module: Click on Front Office Management -> Operations -> Teller -> Customer Receipts.
The following screen will open up:
On the above screen:
Customer Name - Click on the lookup icon to select a customer.
Search for and select the customer.
Filter Criteria - Make use of the available search options ~ name, identity card number, payroll number or employee number to identify the customer.
The customer's details will be populated accordingly.
Use this tab to input the transaction details and to check the GL Statement.
Use this tab to make apportionments to customer/ G/L accounts.
Transaction Amount - Enter the total amount to be apportioned to the account the customer wants.
Expression Button: There is an expression button at the end of the Transaction Amount field that lets you input the expression of the amounts being received.
The total amount will then be populated on the Transaction Amount field. Click the Calculate button once done feeding the amounts.
Apportion To - Select on the drop down whether to apportion to a customer account or a GL account.
Full Account Number - Click on the lookup icon to open the customer accounts lookup dialog box: (It shows the various account products the customer selected at the beginning has)
Select the customer account to which the money received is to be allocated.
This can either be customer shares, loans or savings account.
All the fields will be automatically populated except for the Amount field.
Apportion Amount - Click into the field and enter the amount being apportioned towards the account.
There is an expression button at the end of the Transaction Amount field that lets you input the expression of the amounts being received.
The total amount will then be populated on the Transaction Amount field. Click the Calculate button once done feeding the amounts.
Component - For an account that is not a loan account, select the component as Principal or Aggregate.
Primary Description - Enter the Primary Description, for example, name of the customer.
Secondary Description - Enter the Secondary Description, for example, the account description.
Reference - Enter the Reference, this could be the cheque number or something to identify the transaction.
Apportion Amount - This field will be automatically filled with the loan balance (principal + interest). Double click into the field and enter the amount being apportioned towards the loan.
Component - A component for Aggregate, Principal or Interest may be selected to apportion the money solely to Principal or Interest pick either of the two.
If the Aggregate Component is picked, the system automatically apportions the money for Principal and Interest balances repayment with priority being towards the interest balance.
The outstanding interest will first be serviced, then the remaining amount will be directed to the principal.
Primary Description - Enter the Primary Description, for example, name of the customer.
Secondary Description - Enter the Secondary Description, for example, the account description.
Reference - Enter the Reference, this could be the cheque number or something to identify the transaction.
For a loan without interest balance, Click the Capitalize button circled in red below:
The Ad hoc Loan Interest Capitalization window will pop up containing details of the loan:
Click Save button to capitalize the loan interest.
On successful completion you will get a pop-up message confirming that the operation was successful.
Once back on the apportionment tab, click Refresh button to load the new interest balance.
Remember to add every entry to the apportionment Tab once apportionment is done.
G/L Account - Click on the lookup icon to open the g/l account look up dialog box:
Select the correct account to which the money will be apportioned.
Fill the necessary fields accordingly.
Primary Description - Enter the Primary Description, for example, name of the customer.
Secondary Description - Enter the Secondary Description, for example, the account description.
Reference - Enter the Reference, this could be the cheque number or something to identify the transaction.
All apportionments will be viewed here.
Click on the add button to add the entries to the apportionment pane just below:
Ensure the whole amount is apportioned. Repeat the former step until all the cash is apportioned. (There should be no shortage).
An erroneous entry (under appointment pane) can be removed by right clicking on the entry and select the remove button to effect the change.
Click on the update button to proceed with the transaction.
If the apportionment is wrong, a prompt will pop up:
A proceed prompt will pop up when the apportionments are correct. Acknowledge or decline accordingly.
Yes proceeds, while no terminates the transaction.
On successful completion you will get a pop-up message confirming that the operation was successful.
A print receipt prompt will then pop up. Acknowledge or decline accordingly.
After selecting the Full Account Number under the Apportionment tab, you may view the accounts statement from this tab.
Adjust the Start & End dates, click refresh to see transactions done withing the account.
Shows the teller transactions that have been done.
Shows Customer individual Particulars, Address and Specimens (IDs, photos and signatures) on each mini-tab.
Shows the member's customer accounts.
